After the meeting: producing the minutes
It is difficult to chair and to take minutes, so it is hoped that someone else will have taken on this task. But the minutes are still your responsibility. They can be brief, but make sure they include;
Date of the meeting.
All agenda items.
List of attenders.
Decisions reached and main arguments.
Name of person responsible for any action.
Date and time of next meeting.
In stressing the mechanisms which help to produce efficient staff meetings we would not wish to lose sight of the issue of effectiveness. You can set up regular staff meetings which have all the administrative details well executed, which begin and end on time and which you chair admirably - but which produce nothing of any use. Effectiveness can only be measured by the extent to which a staff meeting achieved its objectives. If decisions were on the agenda, were they made? If information was to be digested was it understood?
